The job:  

CHWC needs a smart, self-starting, tech comfortable Intake Specialist & Administrative Support . This Position helps external and internal customers, supports customer intake process and supports efficient day-to-day operations of the office. The position involves gathering relevant information, assessing client needs, ensuring appropriate resources and services are provided. CHWC is moving towards a increasingly cloud based, paperless, mobile environment, so comfort with existing and emerging tech tools is critical. This position is considered full-time benefits eligible, non-exempt, and reports to the Customer Service & Data Supervisor. This position plays an essential role in the homeownership promotion and preservation department by helping customers navigate the intake process with a focus on making the experience as seamless and respectful as possible.

Q ualifications:  

  • 2+ years' experience in the office setting or relevant experience (experience in housing, community development service preferred.)
  • Excellent written and verbal communication skills in English & Spanish. Ability to speak, read, and write in Spanish required. Knowledge of Burmese or Nepalese is a plus
  • Proficiency in office applications including Outlook, SharePoint, Teams, Word, Power Point and Excel
  • Intermediate database experience (Salesforce and AppFolio preferred)
  • Strong Technology skills
  • Multitasking Ability 
  • Time management skills
  • Ability to attend occasional after-hours meeting and events

The Work/Duties

  • Intake Specialist
    • Supports homeownership department during intake process by conducting initial assessment, gathering all relevant information and supporting documents prior to customer appointment.  
    • Coordinate initial appointments, services, and meetings based on the specific needs of the customer.  
    • Schedule follow-up appointments, ensuring a smooth transition through the intake and counseling service.  
    • Document and make referrals to appropriate services (external or internals) based on client needs  
    • Maintain confidentiality and security of all information while ensuring database is up to dat e regarding customer service .   
  • Customer service
    • Greeting clients and answering phone calls, maintaining common areas clean and organized. 
    • Attending to client needs/responding to clients via phone, emails, social media in a timely manner
    • Help with events (set up, tear down, promotion) and attend outreach events when needed
  • Administrative Support
    • Support other staff member with clerical duties. 
    • Ensure the common areas are kept in orderly and clean fashion (some cleaning required ) 
    • Receive and distribute mail, coordinate all outgoing mail.  
    • Process incoming invoices for the accounting department.  
    • Perform typical administrative duties such as data entry, filing, copying, correspondence and scheduling as other duties allow.  

Hours:  Monday-Friday, 40 Hours per week. Occasional evening and weekend events may be required.

Compensation:  Base Salary: $16-$19 per hour DOQ
